What happens when the wrong countertop supplier is chosen for a 200-unit apartment project? A wrong quote, incorrect dimensions, misplaced sink cutouts, poor packaging, delayed shipment, or no one to contact when something goes wrong. Every issue becomes a real cost: rework, downtime, customer complaints, and project delays.

Most of these risks come from weak process control. When a process has built-in checks, risk can be kept close to zero. When a process depends on people simply watching each other, risk can appear at every step.

Everything in this guide comes from our internal operating procedures. It covers quote preparation, drawing review, order confirmation, sink cutouts, change management, packing, container loading, and pre-shipment inspection. We are sharing these processes so you have a practical error-prevention checklist when evaluating suppliers.

Does the quote clearly state the stone, thickness, edge details, quantity, sink cutouts, accessories, and freight?

Chapter 1. Quoting: More Than a Price Sheet—A Preview of the Contract

Customer action

Send the project drawings and requirements to the supplier and request a quote.

Your concern

Missing items lead to extra charges later. An unclear quote can also result in the wrong product arriving on site.

Our approach

Every customer quote includes 10 required items. Each one can be checked:

Stone selection — Include actual product photos so you can confirm the pattern and color.

Thickness — 3 cm slabs are clearly marked in yellow for easy identification.

Edge details — Clearly describe the edge profile with photos or written codes.

Quantity — Show the total number of sets so you can quickly check for missing items.

Sink cutouts — State the number and location of each cutout based on the drawings.

Back-bolt holes and accessories — State clearly whether they are included.

Waterproofing and steel bars — Clearly state whether these are included where applicable for granite countertops.

Summary — Total square footage, total weight, total containers, total value, and average price.

Sink price — Provide a reference price for budgeting.

Door-to-door ocean freight — Provide a reference cost so you can estimate the true landed cost.

How we control risk

Every item is shown with both images and text. This avoids relying on verbal agreements. Quantity is shown as a total number of sets, not only as line items, making it easier to check on the spot.

A quote you can check item by item. It also becomes the checklist we use to align on your requirements. What is agreed during quoting is less likely to become an added cost or dispute later.

Chapter 2. Before Your Drawings Enter Production, We Standardize Them Again

Customer action

Send project drawings. They may come from a design firm or be hand sketches, so the level of detail can vary.

Your concern

Drawings may be missing the stone, thickness, edge profile, or sink cutout dimensions. If a supplier builds directly from incomplete drawings, you may pay for the mistake.

Our approach

Before an order is placed, our technical team reviews and standardizes every customer drawing and redraws it as a standard production drawing.

We complete the stone, thickness (including kitchen vs. bathroom and main slab vs. backsplash thickness), edge profile (such as EASED, MITERED, or LAMINATED), backsplash height, and other material details.

We complete the floor plan, elevations, cross-sections, and precise dimensions.

We standardize drawing numbers, page numbers, and scales for easier jobsite checks.

We add traceability information such as project name, address, color, and order number.

How we control risk

Standardization does not change your design. It removes unclear points before production starts. The shop builds from the approved production drawing. There is no “I thought you meant this.”

Chapter 3. Before Ordering: 9 Details Confirmed in Writing—Never Just “No Problem”

Confirm the order details and prepare to place the order.

Your concern

The color does not match. Faucet holes are in the wrong place. Sink setbacks are unclear. Packaging is not confirmed. Any missed detail can mean rework and delay.

Before ordering, we put all key countertop details into a fixed checklist and confirm each item with you in writing:

Chapter 4. Sink and Faucet Holes: Cut from Physical Templates, Never Estimated from Drawings

Customer action

Specify the sink and faucet models and include the hole requirements in the order.

Your concern

A wrong cutout can prevent the faucet from fitting or the sink from fitting. By the time the problem is found, the countertop may already be on site.

We follow one rule: sink cutouts are based on the actual sink template, not estimated only from drawing dimensions. The example below is from a real project and shows the exact dimensions for kitchen and bathroom sinks.

How we control risk

Confirm the hole layout on the CAD drawing first. Use the physical template during cutting. Show both units to reduce conversion errors.

What you get

The faucet and sink are ready to fit when the countertop arrives on site. No rework. No replacement slabs.

Chapter 5. Mid-Order Changes: Every Revision Is Recorded

Customer action

Change dimensions, replace a sink, adjust packaging, or change the delivery date during production. This is common on project countertops.

Your concern

A change may be missed and the shop may build from an old drawing. If something goes wrong, it may be unclear who changed what or when.

Our approach

Every detail update on an engineering order is recorded and used as a production reference.

How we control risk

Every change records what changed, why it changed, and when. The full history is traceable. Even after multiple revisions, the order stays organized because production follows only the latest approved version.

What you get

Many changes are manageable. Confusion is the real risk. We control the versions so you only need to approve the final one.

Document management: Each order has its own file set, with no version confusion.

Each project order has its own file set. Quotes (PI), sink CAD drawings, production drawings, production notes, and shipping sequence lists are stored by category. Updated drawings are named by date. Old versions are moved to an “Obsolete Files” folder so the shop does not use the wrong version.

Chapter 6. Packaging and Container Loading: Organized by Building and Floor for “Unbox and Install”

Customer action

Wait for shipment, then distribute the countertops to each floor and unit after delivery.

Your concern

Hundreds of pieces arrive mixed together. The jobsite team cannot find the right pieces for each building, and installation stops.

Our approach

We follow your specified packaging plan when you have one. Otherwise, we use a tiered packing system:

First, group by building.

Then, divide by floor.

Within each floor, separate pieces by size (high and low pieces packed separately).

Keep kitchen pieces separate from bathroom pieces.

Mark the order number, piece number, and panel type on the outside of each package.

How we control risk

Our packing plan considers both transport safety and container efficiency. If your requested packaging would increase the number of containers, we will explain it first and offer a more efficient option. You keep the choice. We take responsibility for the risk.

Pieces can be distributed and installed by label on the day they arrive. No second sorting is needed.

After the container is sealed, we label it with the container number, net weight, volume, and other required information. The shipment remains traceable throughout transit.

Chapter 7. Inspection Report with Every Shipment: Measured Dimensions + Visual Inspection

Dimension errors or surface defects are discovered only after delivery, leading to claims and installation delays.

How we control risk

Inspection is completed at the factory, so issues are resolved before loading. We do not let questionable pieces leave the shop. That is what “ready to ship” means to us.

An inspection report travels with the shipment. You can inspect on receipt without spending extra time on third-party remeasurement.

Chapter 8. Evaluating a Supplier — Look at Actual Production

The most direct way to evaluate a supplier is to see the production floor. The photos below are from real project production at Grand Quartz's factory in Chonburi, Thailand. Every piece shown has gone through the processes described in the first seven chapters.

Color consistency in batch projects — One project, one color, consistent output

One of the biggest concerns with project countertops is that the sample looks different from the bulk order. The two real project drawings below show consistent stone, composite construction, and edge treatment across different units in the same project, helping keep the countertops consistent throughout the building.
